The core difference
Word (DOCX) is built for editing. PDF is built for fixed layout. When you share a DOCX, fonts, spacing, and page breaks can shift on another person’s computer. When you share a PDF, what you see is what they get — which is why final deliverables usually end up as PDF.
When Word is the better choice
- You are still drafting and expect multiple revision rounds.
- Collaborators need to edit paragraphs, tables, or comments directly.
- You need track changes or shared co-authoring in Microsoft 365.
Keep DOCX as your working file while content is moving. Use Word to PDF when the document is ready to send.
When PDF is the better choice
- Submitting applications, contracts, or forms to portals with upload limits.
- Printing documents that must match an approved layout.
- Archiving a final version that should not change accidentally.
PDF also opens on phones and Chromebooks without requiring Word. That alone prevents a lot of “it looked fine on my machine” support threads.
Moving between formats
Need to edit an old PDF? Convert with PDF to Word, revise in DOCX, then export back to PDF for delivery. For scans, run OCR PDF first so text is selectable before conversion.
